INSTRUCTIONS FOR SESSION CO-CHAIRMEN
 
 
(1) Check into the session room well in advance. Check audio and visual aids, get acquainted with speakers, and give any special instructions.
(2) Start session on time. Announce symposium name at beginning of each day of symposium, and name of session theme, if any, at beginning of each session. Decide in advance which Co-Chairman starts sessions.
(3) First listed Co-Chairman introduces self and then the other Co-Chairman with name, organization and location.
(4) Remind audience that questions can be asked at end of each paper if there is time, and others can be held for discussion period at end of session.
(5) Introduction of speakers:
(a) Keep introduction short – names, organization, location and paper.
(b) One Co-Chairman can introduce, or Co-Chairmen can take turns introducing speakers – decide this in advance as to system to use.
(6) Keep speakers on time. This permits attendees moving between concurrent symposia to hear specific speakers.
(a) Watch to see that speakers can be heard and their visual aids are in focus.
(b) Chairman should alert speakers with a sign (or perhaps warning lights) that there are 5 minutes left to speak; then notify speaker that one minute is left.
(c) Time to be allowed is 15 minutes per paper, a 5 minute discussion should follow the presentations. Cut off on time. If author isn't done he can elaborate during discussion period.
(d) If a speaker is not available, allow time for discussion of earlier papers and a stretch, or move on to next paper.
(7) Discussion Period
(a) One of the Co-Chairmen asks if there are any questions or comments. Lead off with a question if you need to stimulate discussion.
(b) Allow discussion to continue only until scheduled end of session. If more questions are still to be answered, Chairman can suggest the speaker and questioner get together later.
(c) Close session on time. Remember other events, such as lunch and coffee breaks, also need sufficient time, so close on time. General Chairman may have some announcements before everyone breaks, especially before lunch or last session of day.
